Assistant Accountant

  • Maintaining accurate records of ledgers and daily financial transactions for accuracy and compliance.
  • Conducting reconciliation of invoices to determine any discrepancies i.e. Compare invoices with records to identify and resolve any errors or disagreements.
  • Conducting and overseeing billing and payment details for external service providers, goods suppliers, contractors, and vendors.
  • Processing reimbursement forms efficiently. This is to quickly and accurately review, approve, and pay requests to employees for expenses incurred.
  • Validating payments and deposits made via the project's account, ensuring coordination with banks.
  • Performing monthly bank reconciliation to ensure accuracy, i.e. To compare the project's financial records with those of the bank statement at the end of each month to identify and resolve discrepancies between the two.
  • Identifying and resolving any reconciling items found in ledgers and accounts, and tracing them back to their source. This is to investigate any discrepancies found in the ledger and then go back to the original documents, i.e., PV, invoice and correct the mistake.
  • Overseeing payroll activities, and ensuring timely salary disbursements. To review, approve, and pay salaries on time, and to see any errors in payroll and resolve them.
  • Managing imprests for staff taken for various activities, including travel, workshops, research, etc., to make sure that funds are used properly, and to ensure that employees submit receipts or reports for settlements.
  • Handling the preparation and submission of statutory payments, including PAYE, SDL, WCF, NHIF, PSSSF, and the like.
  • Handling and maintaining the fixed asset register and the fixed asset movement schedule, which tie to the general ledger. This include managing and updating records of fixed assets owned by project by tracking period of acquisition, wear and tier and disposal.
  • Managing retirement for staff to ensure expenses are supported by valid receipts or relevant approval authority.
  • Maintaining a systematic document filing system for efficient record-keeping for easy access and retrieval when required.
  • Preparation of the quarterly financial report to show the status of the receipts and payments for the quarter. For every quarter, present a clear overview of income and expenses to show the project's financial status and help in decision-making.
  • Perform any other tasks as assigned by the supervisor to support the project's goal.
