  • Management of all administration services(office supplies, cleaning and hygiene materials, front desk, business documents and permits)
  • Management of outsourced services contractors (Cleaners, Gardeners, and Drivers), Manage and oversee cleaning and hygiene services) and ensure service delivery is at the agreed standards
  • Ensure outsourced labor are working under JTI human right initiative whereby monthly pay slip is shared and mandatory statutory deduction are made accordingly
  • Coordinate and support all employee’s wellness activities, include coordinating and ensuring wellbeing trainings, gym and counseling services are accessible for employees, Support new members and dependent with medical insurance cards
  • Support OSHA medical examination for employees
  • Support Fleet and Facility activities management through, includes general supervision and facilitation of vehicles and motorcycles M&R, timely preparation of Motorcycle and Vehicles maintainance and fuel Reports
  • Management of employees transport requests including vehicles and drivers’ allocation and travel planning (daily errands)
  • Management of all utilities in the office, Management of travel desk, hotel, and flight bookings and to prepare invitation letters and other migration procedures for visitors when needed
  • Ensure timely creation of PR for all departments from the budget owner’s approval
  • Supporting P&C Business Partner tasks on site by facilitating recruitment of seasonal staff for the respective season
  • Contracting and managing the exit process for the seasonals on site
  • (Exit letters, and certificate of service for seasonal employees)
  • Organize and manage induction for the new recruits (seasonal), coordinate all NSSF related issues for seasonal employees on site through P&C business partner and payroll section
  • Working with P&C Business Partner to recruit JTI employees and ensure all mandatory procedures are followed including collection of all mandatory documents and create employees files
  • Supporting P&C Business Partner to facilitate trainings to employees and organize others to ensure employees are well equipped with necessary skills

  • Ensures vehicle preventive maintenance is carried out as per manufacturers' recommendations, by facilitate timely servicing and repairing of all the vehicles under responsibility
  • In coordination with garages and branches, verify the diagnosed vehicle problems and the recommended repairs including evaluating service/repair quotations to make sure the quoted items and/or service is valid and at reasonable cost
  • On a monthly basis, run and analyze vehicle maintenance and repair reports from issued PO and vehicle database system, then send a report to Field Sales Manager, Area Manager and Fleet Manager
  • On a daily basis, ensure car track system for all vehicles under your care is working and all daily reports are being sent/received by the defined recipient
  • Monitor driver performance from the car track reports and report all instances of driver abuse
  • Monitor and analyze vehicle monthly fuel consumption, vehicle tire usage including tire durability and safety, and share a monthly report to Fleet management
  • Ensure vehicles have required/necessary emergency
  • Ensure all employees assigned company vehicles, receives Defensive Driving Training and any other relevant safety trainings as required/or recommended by the law, or the company/ or EHS department
  • Ensure all Fleet relevant policies are understood and adhered by all employees with company vehicles, this include but not limited to Fleet Car Policy and Accident/Incident procedures
  • Ensure all employee/drivers receives refresher sessions on company policies
  • Facilitate purchase of new cars, fixing of required accessories, vehicles disposals, accidents investigations and reporting, insurance processing, and fuel cards processing for new vehicles, accident vehicles and disposed vehicles
